EHRs in simulation are a core component of nursing and allied health education. Most programs require it; accreditation bodies expect it. The only problem? Students and instructors have no idea how much they’re paying.

Pricing for educational EHRs is all over the map and often hidden behind complicated websites or snuck into complex bundles including books, testing platforms, and review tools (many of which are never used, but still paid for, by students). More often than not, schools need to spend time meeting with a sales rep before getting a clear answer on pricing.

This guide changes that. We break down what each major EHR simulation platform actually costs in 2026, where we found those numbers, what they include, and what to watch out for before your program signs a contract. Education is already unaffordable; let’s all do our part to keep the costs down for all students.

Note on bundles: If you are purchasing from a vendor who uses product bundles, it’s extremely important to ask how much each product is and determine how you are using each item. It’s very common for the total bundle cost to be inflated due to products your school does not use. These costs are passed directly on to the students and although it may be easier for you and your staff to manage a single bundle purchase every year, it’s much harder for working students to add the extra hours at their part-time job to cover those costs for products they never touch.

Note on bookstores: They’re evil (… just kidding). But seriously, ChartFlow is $30 per student for 12 months. We have some students paying 30% more than that because the bookstore marks up each product and keeps the extra for themselves. Bookstores are a huge part of the reason costs are going up for students. If possible, always allow students the option to buy products on a secondary market or directly through the vendor if possible. And if you’re a student — all unused FAFSA money can be disbursed to you directly after a certain period of time each semester. Wait to get the cash and go buy your products outside of the school’s bookstore! You’ll end up with heaps of cash leftover.

What Does EHR Simulation Software Cost?

Prices range from free to over $300 per student depending on the academic EHR, the term length, and how it’s packaged. If you’re a representative from one of these companies, feel free to share your info and we’ll update it accordingly.

Lippincott DocuCare (Wolters Kluwer)

Instructors free: Not confirmed publicly
Notes: DocuCare is Wolters Kluwer’s nursing-focused EHR simulation platform, part of the Lippincott Solutions product family. If a program is already using Lippincott Solutions as part of their curriculum package, DocuCare may be included at no additional cost. However, if you ask for a breakdown of all products the entire package may still be more expensive than purchasing products independently. Always check your costs before confirming any bundle purchase. However, for a large company, Lippincott is leading the charge by publishing their pricing tiers on a publicly available website. We give them a big thumbs up for that!

SimChart (Elsevier)

Price range: 139.00 per student per year, additional pricing options are not publicly available

Like other large publishing companies, Elsevier prefers to sell bundles. Always keep your students’ best interest at heart when choosing bundles — they’re the ones paying the fees. Worth noting: SimChart access codes are tied to specific editions, and older access codes may not work with updated curriculum materials. That’s worth mentioning to students who might attempt to buy these codes through a secondary reseller.

MedAffinity

Price range: Estimated at $55/student (one visible price from FSU program) for an unknown period of time

Notes: MedAffinity started as a certified clinical EHR and was adapted for healthcare education. It’s built around realistic clinical workflows, with notable strengths in barcode scanning simulation, flexible scenario design, and newer AI-powered grading tools. The information about what is, and is not, included in their pricing is difficult to find and not clearly listed on their website. EdEHR

Price range: Institutional pricing based on the number of students using the product

Instructors free: Yes
Notes: This Canadian company has always given us a really great impression at conferences so it pains us to put it in the “less pricing transparency” category, but we have to stick to our methodology. EdEHR’s own materials claim the managed service costs “less per student per year than a single course textbook.” That’s a compelling benchmark, though the exact number requires contacting them. Faculty accounts are free under the institutional model; individual instructors don’t pay separately.

EHR Tutor (ATI)

Price range: Not published, the only available information is a $91.00/student per year subscription available through the Joliet Junior College bookstore. There is no way to verify if this is part of an existing bundle or not.
Pricing model: Institutional contract, often in an ATI bundle
Pricing public: No
Instructors free: Included in institutional contract.
Notes: EHR Tutor is now part of ATI Nursing Education, and it operates under ATI’s institutional sales model. There is no public pricing for EHR Tutor outside of schools’ individual websites. Programs contract directly with ATI, and student costs are typically passed through program fees rather than billed directly to students at the bookstore.sim Faculty access is included within the institutional contract. If your program already has an ATI relationship, EHR Tutor may be part of that package, but always review a breakdown of product costs and compare that to individual product purchases. Oftentimes bundles do not work in students’ favor. Also, always verify company policies related to fee increases overtime before fully integrating products into your curriculum. Publicly owned companies are pressured to report a profit every year, and in a saturated market that profit often comes from increasing prices for existing customers.

SimEMR (KbPort / Pocket Nurse)

Notes: SimEMR is part of KbPort’s simulation lab ecosystem, now under Pocket Nurse. It’s designed to integrate with physical simulation hardware rather than operate as a standalone software product. SimEMR is included for an entire year of free access to all schools who purchase a KbPort medication cabinet. While this is a great deal in the short term, we recommend always checking renewal prices before commiting to a single product.

Notes: In exchange for the free use of an EHR, you will give up some of the conveniences of paid-for systems. For example, you will need to download this product and install it locally on your computers. It’s definitely going to work better for schools with a hands-on tech department. However, it’s incredible bang for your buck considering no bucks are spent!

Prices above were sourced from official vendor websites, university bookstore listings, and Amazon where available. Institutional contracts may differ significantly from any publicly listed price, and in many cases, no public price exists at all. We are only the messengers.

How to Choose the Right EHR Simulation for Your Budget

The sticker price per student is just the starting point. Here’s how to think about total cost of a software system:

Start with the per-student cost and the license term. Then multiply by the number of semesters a student will need access throughout your program. A $30/12-month platform used for two years costs less than a $60/semester platform.

Ask every vendor more details before making a decision. If they’re being slippery with their answers, there’s probably a reason.

What does a student pay, and for how long does that cover them?
Are instructor accounts included?
Are there any setup, implementation, or onboarding fees?
What type of support is available, what hours, and where is the support staff located? Verify this information with customers.

Does the price include everything (sim environment, assessments, modules, LMS integration) or are there add-on costs? Is that clearly listed in writing?
What happens at renewal — is pricing locked or subject to change? Always ask other customers what kind of price increases they see year-after-year. After all, companies with a board of directors are going to need to show a profit, and if the market is already saturated, that profit need to come from raising your costs every year.
